How We Work
ClickCertificati is an administrative intermediation service. We do not issue government documents: we request, collect and deliver official certificates issued by Italian comuni on behalf of our clients.
We have been working in this field for over 10 years. In that time we have developed a structured working method that allows us to handle every case efficiently, whatever the comune involved, the type of certificate and the final destination of the document.
Our process, step by step
1. Reviewing the request
Every case begins with a review of the request. Not all clients know which document they need for their particular situation โ the difference between a birth certificate, a birth extract and a full copy of the birth record is not obvious, and ordering the wrong document means losing both time and money. Our team assesses the request, checks that the document selected is the right one for the stated purpose and, where necessary, suggests a more suitable alternative before proceeding.
2. Authorisation and case assignment
A formal authorisation is required in order to request a certificate on someone else’s behalf from an Italian comune. Once we have received the order and the signed authorisation, the case is taken on and assigned to our operations team.
3. Submitting the request to the relevant comune
We submit the request directly to the registry office or civil status office of the relevant comune. We operate throughout Italy โ more than 7,900 comuni โ and we know how each of them works in practice. Timeframes, methods and procedures vary from one comune to another: our experience allows us to handle these differences so the client doesn’t have to.
4. Collecting the certificate
Once the comune has processed the request, we collect the certificate. The document is the official one, issued by the competent authority, with full legal validity.
5. Delivery to the client
The certificate is delivered digitally by email or as a paper original. For paper originals we use tracked express courier, both within Italy and abroad โ Europe, North and South America, and the rest of the world.
When you need more: Apostille and Sworn Translations
Many of our clients need documents intended for use outside Italy. In these cases, the certificate alone is not enough.
Apostille (legalisation at the Prefecture)
The Apostille is the legalisation stamp provided for under the Hague Convention that makes an Italian public document valid abroad. It is a procedure carried out exclusively on the original paper document and involves two separate authorities: the comune, which issues the certificate, and the territorially competent Prefecture (Prefettura), which affixes the Apostille.
We manage this entire process. We collect the certificate from the comune, submit it to the Prefecture for legalisation and, once the Apostille has been obtained, send the document to the client by express courier. The client does not have to deal with any office.
Sworn Translations
For documents that must be submitted abroad in a language other than Italian, we coordinate the sworn translation service with official translators authorised by the Court. A sworn translation has legal value and accompanies the original โ or apostilled โ certificate for use in the destination country.
What you can count on
Specialist experience โ Over 10 years working exclusively in Italian civil and vital records. Thousands of cases handled in comuni across Italy.
Local knowledge โ Every comune has its own timeframes, procedures and particularities. We don’t work on autopilot: each case is handled according to the characteristics of the authority involved.
A real point of contact โ Your case is always handled by a member of our team, reachable by phone, email or WhatsApp. We do not use chatbots or automated systems to manage requests.
Transparency โ Timeframes and costs are stated for every service before purchase. If a comune is slower than average, the client is informed in advance.
Intermediation service: the certificate is issued by the comune; we manage the request, collection and delivery on behalf of the client.
