How to get an Italian birth certificate from abroad
If you were born in Italy, or if you are an Italian citizen born abroad whose birth record has been transcribed in an Italian comune, sooner or later you will need a copy of your birth record: to renew a passport, to pass Italian citizenship on to your children, to get married, for an inheritance, or for a consular application.
The document exists in one place only: the civil status office of the Italian comune where the birth was registered. That office works in Italian, during Italian hours, and in many cases has no online service accessible from abroad. The consulate can issue some documents, but only for people registered with AIRE in that district, and appointment waiting times in Latin America often exceed a year.

Certificate, extract or full copy: which Italian birth record to request
This is the most important choice and the most common mistake. The four documents have similar names but different contents and different rules for issue: ordering the wrong one means losing weeks and starting again.
Birth certificate
The short version. It sets out the first name, last name, date and comune of birth, sex, and the registration details of the record. It does not contain the parents’ names or any annotations.
Suitable for: routine administrative matters, enrolments, insurance and social security applications, and any case where simple proof of birth is enough.
It can be requested by anyone who knows the personal details of the individual concerned.
Extract of the birth record (estratto per riassunto)
It contains everything set out in the certificate, plus the details drawn from the original record: the parents’ names and any marginal annotations — marriage, legal separation, divorce, acquisition or loss of citizenship, change of name.
This is the document required in the vast majority of consular and citizenship applications, as well as for transcriptions and marriages. It corresponds to what foreign-language checklists describe as “with parentage” or “showing the names of both parents”.
If the consulate has simply asked you for “the birth record”, in almost every case this is the one.
International extract (multilingual)
The extract issued on the multilingual form provided for by the Vienna Convention of 1976. Because it is already drawn up in several languages, it does not require a sworn translation in signatory countries.
If the destination country is a party to the Convention, this is almost always the fastest and most economical option: it removes both the cost and the delay of a translation.
Full copy of the birth record (copia integrale)
A complete reproduction of the record as written in the civil status register: the full text, the time of birth, the informant, the witnesses, and all subsequent annotations and transcriptions. This is what is known in the United States as a long form birth certificate and in Brazil as a certidão em inteiro teor.
It is the most complete document, but it is not what is needed in most cases. Consulates request it only in exceptional situations: where the extract is incomplete or inconsistent, where there are corrections or annotations to be verified, or where a judge or lawyer specifically asks for it. It is also needed in legal proceedings and in detailed genealogical research.

Which document you need for the consulate, a passport or citizenship

Who can request an Italian birth record
The rules vary depending on the document.
The birth certificate can be requested by anyone who knows the personal details of the individual concerned: first name, last name, date and comune of birth. No family relationship is required.
The extract, the international extract and the full record copy follow stricter rules: they can be requested by the individual concerned, by the parents if the individual is a minor, or by someone who can demonstrate a legitimate reason where the person has died — an heir in an inheritance, a descendant in a citizenship application, or a party to legal proceedings.
In all cases, in order to act on your behalf with the comune we need a signed authorisation form together with a copy of an identity document. It does not have to be an Italian document: your passport or the identity card of your country of residence is fine. The authorisation can be signed from your phone: no printer, no notary, no certification required.
Apostille and sworn translation of an Italian birth record
The document issued by the comune is written in Italian and is fully valid in Italy. To use it abroad, two further steps may be required, depending on the country and the receiving authority.
Apostille. The legalisation affixed by the Prefecture (Prefettura) that makes the document valid in countries party to the Hague Convention of 1961. It can only be affixed to the original paper document and requires coordination between the comune and the Prefecture. We take care of this.
Sworn translation. A translation certified at Court by a registered translator, accompanied by a record of the sworn statement. Required when the receiving authority wants the document in the local language.
International extract. In countries party to the Vienna Convention, the multilingual form replaces the translation. If your case falls into this category it’s worth choosing: it costs less and arrives sooner.
Pay attention to the order of the steps. The apostille and the translation both require the original paper document and extend timeframes compared with simply obtaining the certificate. If you have a deadline, tell us before you order.
Italian birth record for citizenship by descent
In applications for recognition of Italian citizenship jure sanguinis, the birth record of the Italian ancestor is one of the essential documents.
The document normally required by the consulate is the extract of the birth record (estratto per riassunto), complete with an apostille and a sworn translation. The full record copy is requested only in exceptional situations: where the extract shows incomplete or inconsistent details, where the record contains corrections or annotations to be verified, or where a lawyer or a judge specifically asks for it.

Historical birth records and municipal archives predating 1900
We also request birth records going a long way back, including those predating 1900 held in the historical archives of Italian comuni. These are the typical documents needed for citizenship by descent and for genealogical research.
Records predating 1928 require a manual search through the registers: they carry a surcharge, shown in the order form, and take longer than average.

Do I need SPID or an Italian digital identity?
No. You don't need SPID, an Italian electronic ID card or any account on Italian public administration portals. We handle the procedure with the comune on the basis of your authorisation form.
Do I need to be an Italian citizen to request the document?
No. The birth certificate can be requested by anyone who knows the personal details of the individual concerned. The extract and the full record copy require the conditions set out above, which depend on your relationship to the record and not on your citizenship.
I don't have an Italian identity document. Is that a problem?
No. For the authorisation form, your passport or the identity document of your country of residence is fine.
Can I request the document if I'm not registered with AIRE?
Yes. AIRE registration concerns your relationship with the consulate, not the request to the comune. We deal directly with the civil status office that holds the record.
I don't know the exact comune of birth. Can you find it?
The comune is essential: records are held locally and there is no searchable national register. If you have partial information — the province, the region, family documents — write to us and we'll assess whether a search is possible.
What is the difference between a birth certificate and a birth extract?
The certificate sets out the essential details. The extract also includes the parents' names and any marginal annotations. Most consular and citizenship applications require the extract.

The consulate is asking for the "long form" or "inteiro teor". Which one should I order?
These are the terms used in the respective countries for the full copy of the record. Before ordering it, though, do check: many authorities use those words simply to mean a record that includes the parents' details, which in Italy is the extract (estratto per riassunto). Do I need an apostille?
It depends on the destination country and on the receiving authority. It is needed in countries party to the Hague Convention where the authority requires a legalised document. Tell us the country and the intended use and we'll let you know whether it's necessary.
Can I avoid the sworn translation?
Often yes, by choosing the multilingual international extract, which is valid without translation in countries party to the Vienna Convention. We'll check your case before you order.
Does the birth record expire?
The record itself does not expire. Many authorities, however, only accept certificates issued within the last three or six months: check the requirements of the receiving authority before ordering.
Is the document I receive official?
Yes. It is the original document issued by the civil status office of the relevant comune, with full legal validity. The PDF is the one supplied by the comune.
Can I request the birth record of someone who has died?
The certificate, yes. The extract and the full record copy require a documented legitimate reason: being an heir in an inheritance, a descendant in a citizenship application, or a party to legal proceedings.
How long does it really take?
15 working days as standard, 7 for the express option, from receipt of the signed authorisation form. Historical records, apostilles and translations require additional time. Timeframes depend on the comune and cannot be guaranteed.
What happens if I order the wrong document?
