That office works in Italian, during Italian hours, and in many cases has no online service accessible from abroad. The four documents have similar names but different contents and different rules for issue: ordering the wrong one means losing weeks and starting again.<\/p>\n<h3>Birth certificate<\/h3>\n<p>The short version. It sets out the first name, last name, date and comune of birth, sex, and the registration details of the record. It does not contain the parents&#8217; names or any annotations.<\/p>\n<p>Suitable for: routine administrative matters, enrolments, insurance and social security applications, and any case where simple proof of birth is enough.<\/p>\n<p>It can be requested by anyone who knows the personal details of the individual concerned.<\/p>\n<h3>Extract of the birth record (<em>estratto per riassunto<\/em>)<\/h3>\n<p>It contains everything set out in the certificate, plus the details drawn from the original record: the parents&#8217; names and any marginal annotations \u2014 marriage, legal separation, divorce, acquisition or loss of citizenship, change of name.<\/p>\n<p>This is the document required in the vast majority of consular and citizenship applications, as well as for transcriptions and marriages. It corresponds to what foreign-language checklists describe as &#8220;with parentage&#8221; or &#8220;showing the names of both parents&#8221;.<\/p>\n<p>If the consulate has simply asked you for &#8220;the birth record&#8221;, in almost every case this is the one.<\/p>\n<h3>International extract (multilingual)<\/h3>\n<p>The extract issued on the multilingual form provided for by the Vienna Convention of 1976. Because it is already drawn up in several languages, it does not require a sworn translation in signatory countries.<\/p>\n<p>If the destination country is a party to the Convention, this is almost always the fastest and most economical option: it removes both the cost and the delay of a translation.<\/p>\n<h3>Full copy of the birth record (<em>copia integrale<\/em>)<\/h3>\n<p>A complete reproduction of the record as written in the civil status register: the full text, the time of birth, the informant, the witnesses, and all subsequent annotations and transcriptions. This is what is known in the United States as a long form birth certificate and in Brazil as a <em>certid\u00e3o em inteiro teor<\/em>.<\/p>\n<p>It is the most complete document, but it is not what is needed in most cases. Consulates request it only in exceptional situations: where the extract is incomplete or inconsistent, where there are corrections or annotations to be verified, or where a judge or lawyer specifically asks for it. It is also needed in legal proceedings and in detailed genealogical research.<\/p>\n<p>Order it if you have been told to in writing. If the authority requesting the document gave you a written checklist, send it to us on WhatsApp: we&#8217;ll read it and tell you exactly which option to select in the form.<\/p>\n<h2>Who can request an Italian birth record<\/h2>\n<p>The rules vary depending on the document.<\/p>\n<p>The birth certificate can be requested by anyone who knows the personal details of the individual concerned: first name, last name, date and comune of birth. No family relationship is required.<\/p>\n<p>The extract, the international extract and the full record copy follow stricter rules: they can be requested by the individual concerned, by the parents if the individual is a minor, or by someone who can demonstrate a legitimate reason where the person has died \u2014 an heir in an inheritance, a descendant in a citizenship application, or a party to legal proceedings.<\/p>\n<p>In all cases, in order to act on your behalf with the comune we need a signed authorisation form together with a copy of an identity document. It does not have to be an Italian document: your passport or the identity card of your country of residence is fine. The authorisation can be signed from your phone: no printer, no notary, no certification required.<\/p>\n<h2>Apostille and sworn translation of an Italian birth record<\/h2>\n<p>The document issued by the comune is written in Italian and is fully valid in Italy. To use it abroad, two further steps may be required, depending on the country and the receiving authority.<\/p>\n<p><strong>Apostille.<\/strong> The legalisation affixed by the Prefecture (<em>Prefettura<\/em>) that makes the document valid in countries party to the Hague Convention of 1961. It can only be affixed to the original paper document and requires coordination between the comune and the Prefecture. We take care of this.<\/p>\n<p><strong>Sworn translation.<\/strong> A translation certified at Court by a registered translator, accompanied by a record of the sworn statement. Required when the receiving authority wants the document in the local language.<\/p>\n<p><strong>International extract.<\/strong> In countries party to the Vienna Convention, the multilingual form replaces the translation. If your case falls into this category it&#8217;s worth choosing: it costs less and arrives sooner.<\/p>\n<p>Pay attention to the order of the steps. The apostille and the translation both require the original paper document and extend timeframes compared with simply obtaining the certificate. If you have a deadline, tell us before you order.<\/p>\n<h2>Italian birth record for citizenship by descent<\/h2>\n<p>In applications for recognition of Italian citizenship jure sanguinis, the birth record of the Italian ancestor is one of the essential documents.<\/p>\n<p>The document normally required by the consulate is the extract of the birth record (<em>estratto per riassunto<\/em>), complete with an apostille and a sworn translation.
