Below you will find answers to the most common questions about requesting Italian civil and vital records, apostille and sworn translations from Italian comuni. If you can’t find what you’re looking for, contact us — we reply within 48 working hours.

Contents

How the service works

Types of document

Timeframes and delivery

Costs and payments

Documents for use abroad (apostille and translations)

Italian citizenship and genealogical research

Account, orders and refunds

1. How the service works

What exactly is ClickCertificati?

ClickCertificati is an administrative intermediation service that requests Italian civil and vital records on your behalf from Italian comuni, State Archives and parish archives. We are not a public authority and we do not issue documents: the certificate you receive is the official one issued by the competent authority, identical to the one you would obtain by going to the counter in person.

Do I need SPID or an Italian electronic ID to use the service?

No. No Italian digital identity is required. You simply enter the personal details of the individual the document relates to, complete your order, and we handle the procedure with the comune on the basis of a formal authorisation form that you send us after submitting the order.

How do I order a certificate?

In four steps: choose the document from our service catalogue, fill in the form with the details of the individual concerned, complete the payment online and receive the document as a PDF by email. If you also need the paper original or additional services such as apostille or sworn translation, you can select them directly when placing your order.

Can I request a certificate for someone other than myself?

It depends on the type of document. Standard birth, marriage and death certificates can be requested by anyone who knows the personal details of the individual concerned. Extracts (estratto per riassunto) and full record copies (copia integrale) can only be requested by the individual concerned, by the parents if the individual is a minor, or by someone with a legitimate reason such as being an heir, handling an inheritance or pursuing a citizenship application. If in doubt, contact us before ordering.

Do I need to create an account to place an order?

No, registration is not required. You can complete your order as a guest. Creating an account is only useful if you expect to make repeat requests: it lets you view your order history and manage your billing details.

How do I know which document I need?

Every service has a detailed page with a description, the most common use cases, timeframes and pricing. If you have a specific matter such as citizenship, marriage abroad, inheritance or genealogical research and you are not sure which document to request, contact us: we will help you identify the right document, free of charge and before you order.

2. Types of document

Which certificates can I request?

We handle three categories of document.

Registry office records (certificati anagrafici): certificate of residence, family status, combined certificate and certificate of existence in life, including historical versions.

Civil status records (stato civile): birth, marriage, death and citizenship, available as a standard certificate, an extract (estratto per riassunto) or a full copy of the record (copia integrale).

Historical records and baptism certificates: records more than 100 years old held in State Archives, and baptism certificates predating 1872 held in parish archives.

What is the difference between a certificate, an extract and a full record copy?

The standard certificate attests to a registered fact — for example, that a person was born on a given date and in a given place. The extract (estratto per riassunto) sets out the content of the record in summary form, including any subsequent marginal annotations such as marriage, divorce, death or changes of citizenship. The full record copy (copia integrale) is a complete word-for-word reproduction of the original record held in the municipal registers and is the most detailed document; it is required only where the receiving authority specifically asks for it.

What are historical records?

These are civil and vital records more than 100 years old, held by the comune of birth, the State Archive or another archival institution. The search is carried out in registers that are often not digitised, and timeframes can be significantly longer than for standard certificates.

Can I request a baptism certificate?

Yes. Baptism certificates are ecclesiastical documents held in parish archives. They are requested mainly for ancestors born before 1872, the year civil registers were introduced in Italy: for that period, the only available record is often the ecclesiastical one. To request one we need the first name, last name, the relevant parish if known and the approximate year of birth.

Important: baptism certificates are not civil status records, and their legal value depends on the law of the country or the requirements of the institution requesting them. It is the applicant’s responsibility to verify that the document is suitable for their intended purpose.

Does the document I receive have legal value?

Yes, full legal validity. The certificate we deliver is the official document issued by the civil status office, the registry office of the comune or the competent archive. For use abroad, you may also need an apostille and a sworn translation: see the dedicated section below.

Can I request certificates for several people in a single order?

Yes. Add all the documents you need to the cart and complete a single payment. For complex cases such as genealogical reconstructions involving several ancestors, you can also contact us for a tailored quote.

3. Timeframes and delivery

How long will it take to receive my certificate?

For standard certificates, the standard timeframe is 15 working days from payment confirmation. An express option is available at 7 working days for a surcharge. For historical records and baptism certificates, timeframes cannot be standardised because they depend on the availability of the archive concerned: we provide an indicative estimate when you place your order.

What happens if the stated timeframes are not met?

Timeframes are indicative and do not constitute an essential term of the contract. We are not liable for delays caused by municipal offices, strikes or other events beyond our control. If you chose the express service and the 7-day deadline is not met for reasons attributable to us, the express surcharge is refunded in full.

How will I receive the document?

As a PDF by email as standard, to the address you provided when ordering. If you also request the paper original, we send it by tracked express courier at an additional cost shown at checkout. For sworn translations the paper original is mandatory, because only the paper version bearing the translator’s stamp and signature has legal value; the PDF version of the translation serves as an informational copy.

Do you ship abroad?

Yes, worldwide. The PDF sent by email is free and available anywhere. The paper original is shipped by tracked express courier to the European Union, the United Kingdom, Switzerland, North and South America, Asia and Oceania. Shipping times and costs vary by destination and are shown when you place your order.

What happens if the document cannot be found?

If the document cannot be located or cannot be issued for reasons beyond our control — gaps in the registers, refusal by the institution, a non-existent record — we will inform you promptly. In these cases the fee for the basic service is not refunded, because the search work has still been carried out. If you also purchased additional services such as apostille or translation, these are refunded in full.

Can I track the progress of my order?

Yes. You will receive email updates at every key stage: order confirmation, case taken on, issue of the document by the comune, any additional services such as apostille or translation, and shipping. If you have an account, the status is always available in the My Account area.

4. Costs and payments

How much does a certificate cost?

Prices vary according to the type of document, the issuing comune and any additional options such as express processing, paper original, apostille or sworn translation. You will find the exact price on each service page.

What are municipal fees and how do they work?

Municipal fees are costs charged directly by some comuni or State Archives for issuing the document. They apply mainly to historical records and vary from one institution to another. They are a cost imposed by the public authority, separate from our own fee: we make no margin on these amounts.

The procedure is transparent: if, during processing, the institution requires payment of municipal fees, we contact you by email with the exact amount and the payment details provided by that institution. Processing is suspended until you confirm payment. You are free to proceed or to withdraw; if you withdraw, the service is deemed incapable of performance.

Do the prices include VAT?

Prices shown on the website are exclusive of VAT unless otherwise stated. VAT is applied at checkout in accordance with the applicable tax rules.

How can I pay?

We accept credit cards, debit cards and prepaid cards through the secure Stripe platform (your card details are never acquired or stored by us), as well as advance bank transfer. In the case of a bank transfer, processing begins once the funds are actually credited; payment must be received within 5 working days of order confirmation, otherwise the order is cancelled automatically.

Can I receive an invoice?

Yes, we issue invoices on request. Indicate this when placing your order by entering your billing details: company name, VAT number and recipient code or certified email address.

Do you offer rates for law firms and agencies?

Yes. For notarial practices, administrative agencies, citizenship consultancies, translation companies and businesses handling continuous volumes, we offer dedicated rates, monthly invoicing and a single point of contact. Contact us for a tailored quote.

5. Documents for use abroad: apostille and translations

What is an apostille and when is it needed?

An apostille is a certification provided for under the Hague Convention of 5 October 1961 that authenticates a document for use in countries party to the Convention, without the need for consular legalisation. If you need to submit an Italian certificate in one of the signatory countries — such as the United States, Brazil, Argentina, the United Kingdom, Spain and more than 120 others — you will need an apostille issued by the Italian Prefecture (Prefettura).

Does my destination country require an apostille or consular legalisation?

It depends on whether the country is a party to the Hague Convention. Signatory countries require an apostille, which is simpler and faster. Non-signatory countries require consular legalisation at the consulate of the destination country. Consular legalisation is a separate procedure from the apostille, with different timeframes and costs.

You can check whether your country is a signatory on the official Hague Convention website (hcch.net), or contact us for assistance.

How does a sworn translation work?

A sworn (or certified) translation is a translation carried out by a translator entered on the register of expert witnesses of the Court, who swears before the Court Clerk that the translation conforms to the original. It is required for the legal use of an Italian document abroad, or of a foreign document in Italy.

We coordinate the service for you: we receive the document, entrust it to a sworn translator for the language required, obtain certification at the Court and deliver the translation together with the record of the sworn statement.

Which languages do you offer for sworn translations?

Available languages are listed on the translation service pages. The most frequently requested are English, Spanish, Portuguese, French and German, but we also cover less common languages. If you don’t see your language, get in touch.

Is the PDF version of the sworn translation valid?

No. A sworn translation has legal value only in the original paper version bearing the translator’s stamp and signature together with the Court’s record of the sworn statement. The PDF version is an informational copy only. The paper original is sent by express courier at your expense, and the cost is shown when you place your order.

Can I request the apostille and translation together with the certificate?

Yes, this is the most common approach. When placing your order, select the apostille or sworn translation as an additional service: we first request the certificate from the comune, then have the apostille affixed at the Prefecture, and finally arrange the translation. You will receive a single complete package.

Can an apostille be added to a certificate I already have?

Yes. If you already have an Italian certificate and only need the apostille, contact us and we will arrange the service. Do check, however, that the certificate is not too old: some countries only accept certificates issued within the last 6 months.

6. Italian citizenship and genealogical research

Which documents are needed for Italian citizenship by descent (jure sanguinis)?

You will need the birth, marriage and death certificates of every Italian ancestor in the line through which citizenship is claimed, from the ancestor who emigrated down to the applicant. Italian certificates must be obtained from the comuni where the ancestors were born, complete with all marginal annotations, and accompanied by an apostille for use abroad. Sworn translations are often required as well, depending on the country where the application is submitted.

In most cases the consulate requires the extract (estratto per riassunto); the full record copy (copia integrale) is requested only in exceptional situations. If you have the consulate’s checklist, send it to us and we will tell you exactly what to order.

We help you reconstruct the documentation starting from whatever information you have about your Italian ancestor. If the ancestor was born before 1872, a parish baptism certificate may be needed in addition to the civil record.

Can I request documents even if I don’t know exactly which comune my ancestor came from?

Yes, but within limits. If you only have a general geographical indication — Sicily, for example, or the province of Cosenza — we can begin a search, but timeframes and costs increase accordingly. The more information you have (likely comune, approximate year of birth, parents’ names), the higher the chance of finding the record and the faster the search.

What do you do if the record isn’t found at the comune?

If the record is not held by the presumed comune of registration, we can extend the search to neighbouring comuni and to the State Archive for the province. If the ancestor was born before 1872, we consider requesting the parish baptism certificate as an alternative.

Can I get help reconstructing my family tree?

Yes. For complex genealogical reconstruction projects — multiple generations, several family branches, searches across different archives — we offer a dedicated genealogical research service with a tailored quote. Contact us with a brief description of your project.

How long does it take to obtain documents for a citizenship application?

It varies considerably. For an ancestor who emigrated in the late nineteenth century, where you know the comune of birth and have accurate details, we are talking about a few weeks if the registers are complete. More complex projects can take months. We always give you a realistic estimate before starting work.

Do you handle citizenship applications at Italian consulates abroad?

We handle the Italian documentation side (certificates, apostille, translations). Submitting the citizenship application to the consulate in your country of residence is the responsibility of the applicant or their legal adviser: each consulate has its own procedures and appointment schedules. We can put you in touch with specialist advisers on request.

7. Account, orders, withdrawal and refunds

Can I cancel an order?

It depends on when you ask. If processing has not yet begun, you can cancel the order and receive a full refund within 14 days. If processing has already begun, an amount proportionate to the work carried out will be retained. If the service has been fully performed, no refund is due.

Can I exercise a right of withdrawal?

Yes. As a Consumer Client (a natural person acting for non-professional purposes) you have the right to withdraw from the contract within 14 days of its conclusion, without giving reasons, pursuant to Article 52 of the Italian Consumer Code.

The right of withdrawal does not apply where the service has been fully performed before the 14 days have elapsed with your express consent (consent that we obtain when you place your order), pursuant to Article 59 of the Italian Consumer Code.

In which cases is no refund granted?

No refund is due where the service has been fully completed; where an unsuccessful outcome is due to incorrect or insufficient information you provided; where, in the case of additional services, the work has already been entrusted to the translator or to the office responsible for the apostille; or where you have declined to pay the municipal fees required by the institution.

Where the basic service is unsuccessful for reasons not attributable to you, the fees for additional services (apostille, translation) are refunded in full.

How do you handle my personal data?

We process your data solely in order to perform the service requested, in accordance with EU Regulation 2016/679 (GDPR). You have the right of access, rectification, erasure, portability, restriction of processing and objection. To exercise these rights, write to info@clickcertificati.com. Full details are set out in our Privacy Policy.

How do I delete my account?

Send a request to info@clickcertificati.com. Within 48 working hours your data will be removed, with the exception of data whose retention is required by law, such as invoices held for tax purposes.

How can I contact you if I have a problem?

Through the contact form, by email at info@clickcertificati.com, by phone on +39 090 916 0200 (Mon–Fri, 9:00–13:00 and 15:30–17:30 CET) or via WhatsApp. For formal communications (withdrawal, exercise of GDPR rights) you can also use our certified email address: ufficiocertificati@legalmail.it.

Didn’t find the answer you were looking for?

Write to us using the contact form or call +39 090 916 0200.
